n order to load in the customers and their matching vehicles, please follow below…...
You need to upload the vehicles and customers separately.
The Vehicle file needs to be FIRST, followed by Customer’s file, both files as CSV format. NOT other way around!
Vehicle Import:
Prepare your Vehicle file. Attached on the bottom of the screen is an example of the file, listing all fields (in columns) CarVue can map. You can import large number of information or you can leave some columns blank but you need to have compulsory data.
Compulsory vehicle data:
- Registration
- Make
- Model
You need to make sure that your data has a header row (row1).
Also Date Format must be in your local format (e.g. DD/MM/YYYY), for when you fill in a date for Reg Date, Annual Check Due Date, Service Due Date and Warranty Ends (please note dates are optional imports).
Step 1:
Go to Import Vehicles, upload your file and select start import to move onto next step.
Step 2:
QuickVue uses smart matching to help match up the fields, so any we pick up automatically will be indicated with ticks. Use the drop down boxes to map the rest of your fields against QuickVue fields and select which columns to import. Any fields you don't want to import simply select on the drop down 'Don't Import'. Ensure you have mapped a field against Registration, Make and Model (this is a must for the import) before you Save and Continue.
Step 3:
Pick default speedometer Reading
Select your default Speedometer Reading, Miles or Kilometers This will be used across QuickVue and can be edited on an individual basis for each contact if you want to change it at a later date. You can also review the field mappings you chose in the stage before at this time. Once you have made your selection move onto the final stage by clicking Save and Continue.
Step 4:
Review and Complete Import
Our Import process will now take a quick look at your data and let you know if there are any issues. If there are, we'll show them to you at this point. Review any rows that are not going to be imported due to invalid data, e.g. Reg Date, Annual Check Due Date, Service Due Date and Warranty Ends.
Click Complete Import to finish the process.
Contact Import:
Prepare your contact file. In order to match already loaded vehicles with their owners, you need to include the registration of the vehicle in the contact import file.
The rules for file format are the same as for Vehicle file format – it needs to be CSV and the file have to have a header.
Example of the file is attached, listing all the fields CarVue can map, including the column for registration number. If the vehicle already exists and registration column is mapped, the vehicle and contact will be linked.
Step 1:
Go to Import Contacts, upload your file and select start import to move onto next step.
Step 2:
Map the data columns for CarVue
Ensure you have mapped a field against Last Name (this is a must for the import) before you Save and Continue.
Step 3:
Pick default contact name display
Select how you would like your contacts to be displayed at key places in QuickVue. You can choose either First Name Last Name (Company), or simply Company. This will be used across CarVue and can be edited on an individual basis for each contact if you want to change it at a later date.
Review any rows that are not going to be imported due to invalid data, e.g. an email address in the phone number column.
Click Complete Import to finish the process.
If you are importing a large amount of data, please note this can take a few minutes to load.
... and that is all. Your contacts are now linked with vehicles.
